Team AVCon Incorporated organises AVCon. All attendees present at the Festival agree upon entry to comply with this Code of Conduct for the General Public and accept all of its conditions.

Please note that failure to comply with the Code of Conduct may result in ejection from the Festival and associated events and may result in banning/blacklisting from future Team AVCon Incorporated events.

Terms and Policies

Conditions of Entry

  1. Entry to the Festival and associated events/venues are on an own-risk basis.
  2. Passes MUST be worn and visible at all times—one pass per person. Failure to display a valid pass will result in the attendee purchasing a replacement pass or being ejected from the event.
  3. While every precaution is taken to ensure that events within the Festival run according to schedule, this is sometimes impossible, passes are non-refundable if individual events, guests, or tournaments run outside of schedule or are cancelled.
  4. Team AVCon Incorporated, its organising committee, staff and volunteers (including its associates), and the venue/s will not be held liable for any loss, damage, theft or injury sustained entering or within the premises during the event.
  5. No glass, weapons, fireworks, illicit drugs or alcohol will be allowed into the venue and surrounding area.
  6. Attendees should dress modestly and appropriately, including when in costume. If clothes or costumes are deemed immodest, unacceptably revealing or otherwise inappropriate, an attendee must change or modify a costume to be deemed acceptable.
  7. No smoking is permitted inside public/function areas. This is against Australian Law covering all States and Territories. Smoking is permitted in some outside areas at least 10 metres away from buildings, doors, windows, air intakes, etc.
  8. Animals/pets are not allowed into the venue or the event. The only exception to this rule exists for people requiring a registered Guide Dog to assist with mobility.
  9. Pass holders consent to film and sound recording as the crowd and/or audience members. Individuals may not undertake photography/filming without the permission of the subject. Refer to the section Filming and Photography for further clarification.
  10. Team AVCon Incorporated reserves the right to refuse entry to and/or eject from the Festival and any associated events any patron acting in a dangerous manner or in a way that may cause harm to themselves or other attendees.
  11. Please note that all passes are non-refundable and not for resale.
  12. “Free Hugs” and equivalent signs are not allowed. All signs will be removed from attendees on sight to avoid incidents outside of consent.
  13. Selfie sticks are not allowed inside the venue for the safety and enjoyment of other attendees.
  14. Failure to comply with the above code of conduct may result in forfeiture and confiscation of your AVCon pass without a refund and ejection from AVCon.

Festival Rating

The rating of the Festival, in general, is PG. Specific areas and events that may exceed this PG rating will be marked as such. The G, PG and M classifications are advisory only. There are no legal age restrictions regarding these ratings. These areas are open to all attendees of the Festival regardless of age. Due to differences in international rating structures and systems, some adult situations may occur where profanity, nudity or violence may be present. Where ever possible, we have indicated these events on the programming schedule to aid in our patrons’ viewing choices, but parental guidance is ALWAYS recommended.

Minors

AVCon defines a minor as anyone aged ten or under. All children aged ten and under MUST be accompanied by a parent or guardian at all times. Under no circumstances will minors be allowed entry to the Festival unaccompanied. All accompanying parents or designated guardians must purchase and display a valid entry pass for the Festival.

MA15+ Ratings

MA15+ is a legally restricted classification. Attendees must prove their age as 15 or over to participate in MA15+ rated gaming tournaments or enter MA15+ areas or screenings of the Festival. Participants under 15 are permitted only when their parent or guardian accompanies them. The “guardian” must be an adult exercising “parental control” over the person under 15. The guardian needs to be 18 years or older. An older sibling or friend would not generally satisfy this requirement, whereas a grandparent, aunt or uncle may. This is a legal requirement under Australian classification law and is not negotiable.

Film & Photography

Photographic and video footage by attendees of AVCon is generally allowed in all common areas of the Festival. Specific rules and restrictions regarding video, audio, and photography apply to certain other events within the Festival. Pay attention to signs or announcements regarding restrictions when entering a panel or specific event/area. When photographing or videoing individuals or costumes, use common courtesy and ask before. Respect an attendee’s rights if they do not wish to be photographed or recorded. Photography or videoing of AVCon events, staff, or attendees for sale or publication to the press is expressly forbidden unless written permission has been obtained from Team AVCon Incorporated. If images and/or videos are placed onto a personal web page or similar internet archive, please identify all media from AVCon events as being AVCon events.

Entry into AVCon constitutes a grant of rights to Team AVCon Incorporated to reproduce, display, distribute, perform, create derivative works, and otherwise use any media derived at the Festival. Entry into AVCon constitutes consent to be filmed or photographed by AVCon staff or approved industry or media during the Festival without compensation to you. Attendees should also be aware that staff members gather footage of the Festival and attendees in public areas, events, and panels, which may be used in a highlights tape for advertising or other use. These rules apply to all Festival attendees.

Inappropriate use of photography or video technology constituting harassment of attendees or a violation of local/state/federal law will result in ejection from the Festival and associated events.

Epilepsy Warning

Some people are susceptible to epileptic seizures or loss of consciousness when exposed to certain flashing lights or light patterns. Such people may have seizures while watching specific monitor images or playing certain video games. This may happen even if the person has no medical history of epilepsy or has never had any epileptic seizures. Team AVCon Incorporated recommends that if you or anyone in your family has ever had symptoms related to epilepsy (seizures or loss of consciousness) when exposed to flashing lights, consult your doctor before participating in video game events or screenings. If you experience any of the following symptoms: dizziness, blurred vision, eye or muscle twitches, loss of consciousness, disorientation, any involuntary movement or convulsion while playing a video game or watching a screening, IMMEDIATELY discontinue the activity and consult your doctor.

Passes: General Admission, Vendors, Press & Guests

Passes MUST be worn at all times. Failure to display a valid pass will result in the attendee purchasing a replacement pass or being ejected from the event. Those found entering the event without purchasing a pass will be escorted to the registration desk to purchase a pass or will be banned from the event for its duration.

Press, Special Guest and Vendor passes may be picked up from registration on the day or before the event if previously arranged with Team AVCon Incorporated. Press passes will only be issued to those able to provide evidence of employment within the media.

All AVCon tickets and passes are non-refundable.

AVCon Ticketing Terms & Conditions

Tickets sold or issued by Team AVCon for AVCon 2024 are subject to the following Terms and Conditions of Sale. By purchasing or registering to attend the AVCon 2024 event, you agree to abide by these terms and conditions. Tickets may be subject to additional terms and conditions, including specific conditions of entry issued by the venue.

Refunds

  1. Tickets purchased for AVCon 2024 are not eligible for a refund due to any variation to advertised programs, including the withdrawal, rescheduling or substitution of guests.
  2. Tickets purchased for AVCon 2024 will be eligible for a refund if the event is cancelled, rescheduled, or significantly relocated, with the exception of government mandates or acts of God. Team AVCon, however, will not be responsible for any additional expenses incurred by the patrons, for example, the cost of travel, including car parking, childcare, and accommodation.

Changes and Exchanges

  1. Team AVCon reserves the right to change any ticket price without notice.
  2. All tickets for AVCon 2024 must be purchased through Team AVCon’s official online ticket provider (Eventbrite) or an authorised Ticket Partner.
  3. Tickets purchased for Saturday or Sunday may be exchanged for tickets for the opposite day at Team AVCon’s discretion.
  4. Day pass tickets may be upgraded to a weekend pass for a nominal fee.
  5. AVCon tickets may not be resold except with the written consent of AVCon. AVCon may cancel the ticket without a refund if a sold ticket breaches this condition. The bearer of the resold ticket may be refused admission without compensation.
  6. If your tickets are lost or stolen, you must produce proof of original purchase and ticket number before a ticket will be reissued.
  7. If payment for a ticket is reversed by chargeback or another mechanism, the tickets purchased may be invalidated. The ticket purchaser and associated ticket holders may be barred from future events.
  8. AVCon may refuse entry if tickets are damaged or defaced.
  9. Maximum ticket limits may be imposed. Team AVCon reserves the right to cancel orders that exceed the maximum ticket limit with compensation.

Other Terms and Conditions

  1. Children aged twelve (12) and under will be provided with a Child Day Pass at no charge when accompanied by a paid ticketholder. A maximum of two free Child Day Passes per paid ticket, regardless of ticket type. 
  2. All prices quoted include the Goods and Services Tax (GST).
  3. AVCon accepts Companion Cards allowing the companion of someone with significant and permanent disability to enter without charge.
  4. Where concessions are applicable, suitable and valid identification of that concession must be provided for the collection of tickets and entry to AVCon 2024. Failure or refusal to provide valid proof of concession may result in refusal of entry.
  5. Attendees can find AVCon’s Code of Conduct on our website here. By purchasing a ticket to AVCon 2024, you agree to the AVCon Code of Conduct. Team AVCon reserves the right to amend or alter the AVCon Code of Conduct at any time up to and during the AVCon 2024 event.

Liability

Every due care has been taken to ensure the venue is safe. Team AVCon Incorporated, its organising committee, staff and volunteers (including its associates), and the venue/s are not responsible for any loss, damage, theft, or injury during the event. Attendees are responsible for their actions and any repercussions that may result. Staff are on hand for assistance in any situation. However, the relevant authorities handle any civil or medical emergency.

Anti-harassment Policy

AVCon is and always should be a safe, welcoming and friendly environment for everyone involved. As such, harassment of convention participants in any form will not be tolerated under any circumstance. Convention attendees violating these rules may be warned or removed from the convention, without refund, at the discretion of the convention staff or venue security.
Harassment can include but is not limited to:

  1. Verbal comments or statements considered or construed as offensive (regardless of the commenter’s intent)
  2. Following or stalking
  3. Inappropriate or non-consensual photography or recording
  4. Inappropriate or non-consensual physical contact
  5. Unwelcome sexual attention

Attendees spoken to in regards to their behaviour by convention staff or security may be, depending on the severity of the incident, be:

  1. Given a warning to cease their behaviour
  2. Be immediately removed from the venue
  3. Have their pass revoked without the right to refund

If the behaviour in question substantively violates state law, police will be called, and further action may be taken.

It is a condition of entry that any attendee either warned or ejected for their behaviour submit to having their photo taken after an incident for future reference of security and staff.

Exhibitors, vendors, or anyone else engaged in similar activities are also subject to the anti-harassment policy.

If during the event you have been or are being harassed, or you know or have seen someone that has been or is being harassed, or you have any other concerns, please speak to an AVCon staff member immediately. Anti-Harassment Policy provided courtesy of the Cosplay Sentinels Project.

Safety

Any violation of the Code of Conduct that involves activities prohibited by the law will result in the notification of the proper authorities, eviction from the event without refund, and may result in banning/blacklisting from future Team AVCon Incorporated events.

Dangerous activities will not be tolerated. This includes aggressive actions towards other attendees, fighting, offensive behaviour, indecent exposure, possession of weapons, and other obscenities, resulting in substantial risk or harm to persons or property. Attendees participating in these activities will be evicted from the venue without the right to re-entry or refund. Team AVCon Incorporated accepts no liability for any injuries, damages or loss caused by these activities.

In the case of an emergency evacuation or situation, please follow official directives.

Security Policy

Security will be present at AVCon to ensure the safety of the attendees, staff, volunteers and venue. Security will patrol the event for general offences and possible criminal activity. General offences are handled by Security, who can eject persons from the Festival.

Criminal actions are handled by the Head of Security or the Elect of Team AVCon Incorporated. Certain offences will lead to immediate ejection from the Festival regardless. Removals can be issued for several reasons, including but not limited to:

  1. Harassment reports
  2. Disorderly conduct/disruption of the Festival
  3. Violation of any law, be it local, state, federal or international
  4. Violation of any Festival Policies and other organisations’ policies directly relating to AVCon
  5. Avoiding security staff trying to speak with you
  6. Flight from security staff after a policy violation has been declared but before the issue is resolved.
  7. Violations of ANY of AVCon’s Codes of Conduct, as stated by Team AVCon Incorporated.

Security is not responsible for any aspect of the Festival but can respond to any disruptive action occurring anywhere in the Venue. Criminal actions, if they occur, should be reported to Security, who will follow through with the appropriate course of action deemed necessary. If Security chooses to remove an individual from the Festival site, Team AVCon Incorporated or Security will immediately revoke the attendee’s pass without the right to refund.

Food & Drink

Food items, including drinks, are not allowed inside screening areas or near electronic equipment such as video game consoles and TVs. Those found to be consuming food items in such areas will be asked to leave the area while eating/drinking but may return once finished.

Costumes & Cosplay

Cosplays must meet our attendees’ duty of care expectations. Consideration needs to be made to the following rules to ensure the safety of the cosplayer and those attending. If you require further clarification on our rules or have any other questions regarding cosplay, please contact cosplay@avcon.org.au.

  • Heavy props or costumes with excessive weight are dangerous, particularly in crowds.
  • Excessive size is restricted at AVCon. Props or weapons cannot exceed 2 meters in overall length. If your prop is larger than 2 meters and you wish to carry it on the Festival floor and competition, please contact cosplay@avcon.org.au
  • Props or costumes made from metal, glass or materials that can be heavy or dangerous need to be assessed before the event. If these materials are used in the competition, handlers or assistants may be dedicated to the cosplay on the show floor at any time. 
  • Metal spikes, shields, or armour must be deburred and safe for public wear. Sharp edges pose a risk to the costumer and others. Barbed wire is not acceptable in any form.
  • Masks, helmets, makeup and facial coverings must be easily removed if requested by security, Festival staff and volunteers. Glued Prosthetics will be asked for I.D.
  • Decommissioned Firearms, BB or airsoft, Replica-type gel blasters, sports weapons, metal replicas, cap guns, ammunition, militaria/collector’s pieces, working bows or compound bows are NOT under any circumstances to be brought into AVCon. 
  • Nothing is to be loaded into anything capable of firing a projectile. 
  • Metal weapon props are prohibited in the Festival. 
  • Baseball bats made from metal or aluminium are prohibited in and around AVCon.
  • Suitable footwear is required, and bare feet are prohibited. Any stilts, wheels or rollerblades need to be checked before the Festival weekend by emailing cosplay@avcon.org.au OR checked on the day by our team at the venue. If an attendee shows great difficulty moving due to the footwear, the footwear will be assessed on-site and removed if necessary. Stiltwalkers require handlers at all times while wearing the stilts.
  • Costumes must adhere to a family-friendly show, including all interactions and behaviours.
  • All costumes must have enough coverage to be worn in public and be in good taste. Small or exposing costumes must have stockings or other modesty panels (such as pasties) to keep the integrity of the cosplayer. The use of dance belts and coverage of any outline of genitals in costume is required, and cosplayers that fail to adhere to this will be asked to change or alter their cosplay. 
  • Obscene, offensive, or insensitive use of makeup, SFX or cosplay that supports hate and hate groups are banned in AVCon. In this same sense, gore and graphicly violent elements may be subject to approval by the AVCon Events team at cosplay@avcon.org.au.
  • Any costumes promoting illegal drugs, alcohol, tobacco, firearms/weapons (or these items/symbols) cannot be used in the competition. This also includes activities that appear unsafe or dangerous. 
  • Costumes cannot promote political agenda messages, defamation, or misrepresentation of the AVCon committee or other contestants and cosplayers in the community.
  • Cosplayers and costumes cannot violate any Australian law or depict actions defying them. 
  • If you are asked to cloak an item and are unhappy with this decision, you have the right to ask for a second opinion from a Committee or Elect member.

For failing to comply with these expectations, those attendees that violate these terms will be removed from the event and could be banned from future attendance of the Festival. All props should be ready for checking at any point by AVCon volunteers.

Artist And Exhibitors

Interpretation

  • Any reference to ‘AVCon’ includes Team AVCon Incorporated and its representatives, officers, agents, associates, business entities, assignees, assignee affiliates, or other persons or entities authorised to act on behalf of Team AVCon Incorporated.
  • Any reference to the ‘Artist’ includes a person, partnership, trust, trustee, corporation, or any other business entity on completion of the Artist Alley application. Further, the said Artist’s representatives, agents, employees, associates, business entities, assignees, assignees affiliates, or other person or entity authorised to act on behalf of the Artist is bound by these Terms and Conditions.
  • Any reference to the ‘Exhibitor’ includes a person, partnership, trust, trustee, corporation, or any other business entity on completion of the Exhibitor application. Further, the said Exhibitor’s representatives, agents, employees, associates, business entities, assignees, assignees affiliates, or other person or entity authorised to act on behalf of the Exhibitor is bound by these Terms and Conditions.
  • Any reference to ‘Venue’ includes The Adelaide Showgrounds, Jubilee Pavilion, the Royal Agricultural and Horticultural Society of South Australia and its representatives, management, officers, agents, associates, business entities, assignees, assignee affiliates, or other persons or entities authorised to act on behalf of the Royal Agricultural and Horticultural Society of South Australia.
  • Any reference to ‘Allocated Space’ being space within the Venue during the AVCon event contractually provided by AVCon to an Artist/Exhibitor for the sole use of their business activities.
  • Any reference to ‘Display’ being any structures, materials or equipment used for advertising or business within an Allocated Space.
  • Words importing or signifying the singular shall embrace the plural, and words importing the masculine gender shall embrace the feminine or neutral gender and vice versa, respectively.
  • Words importing a person shall be deemed to include a corporate body and vice versa.
  • By participating in the Team AVCon events, the Artist or Exhibitor agrees to these Terms and Conditions.
    • Team AVCon Incorporated reserves the right to enforce these Terms and Conditions once an Artist or Exhibitor application has been accepted and an invoice has been generated and sent to the Artist or Exhibitor.

Terms and Conditions

  • The person who has filled in the Artist/Exhibitor application will be deemed the designated contact and bear all responsibilities. All information will be relayed to this contact. AVCon must be contacted to change or designate an alternate contact via email.
  • The Artist/Exhibitor may erect a temporary Display within their Allocated Space. Such Display shall be of a professional, high-class nature. It shall not detract from the standard of operations of the event. In particular:
    • The Artist/Exhibitor shall ensure that all table spaces are fully covered, and product is set out in a professional manner, ready to do business at all times; and
    • The Artist/Exhibitor must Display professional and clear signage. A-Frames are unacceptable and are not permitted.
  • The Artist/Exhibitor’s Display must not extend into other tenant’s space or in any way obstruct:
    • The free movement of customers in the common area of the exhibiting area;
    • Any emergency exit or stairway; and
    • Access to, or the line of sight to, the Allocated Space of any other tenant in the exhibiting space.
  • The Display is to be of a temporary nature only, and the Artist/Exhibitor must not affix items to any part of the Venue if it would cause damage to the Venue in any way unless they have express permission from the Venue. The Artist/Exhibitor must ensure that all Displays are safe, stable and have been erected in a professional manner.
  • The Artist/Exhibitor must not include any audible aspects to their Display or any lights or reflective surfaces that could be considered obtrusive or dangerous.
  • The Artist/Exhibitor must not allow any part of their Display to stain, mark or otherwise damage any part of the Venue.
  • Both AVCon and the Venue reserves the right to require the Artist/Exhibitor to remove or alter any part of any Display erected for any reason and at any time.
  • The Artist/Exhibitor will be responsible for moving any product or equipment to and from the Venue or their Allocated Space. AVCon will not be held liable for any damage that may occur in transit.
  • Prior to the vacation of the Allocated Space, the Artist/Exhibitor must:
    • Remove the Display and all fittings, equipment, or other articles from their Allocated Space;
    • Reinstate their Allocated Space to its condition prior to the setup date;
    • Make good any damage caused to the Allocated Space, and
    • Remove all rubbish and leave the Allocated Space in a clean state and condition.
  • The Artist/Exhibitor must have vacated their Allocated Space and removed all Display by the end of the designated bump out time or may be liable for the cost related to the extension of Venue hire.

Payment and Refunds

  • The Artist/Exhibitor will agree to make any requested payments before the deadlines clearly stated by AVCon upon acceptance of applications. In the event of a non-payment by said deadlines, the Artist/Exhibitor will forfeit their spot at AVCon, and it will be offered to others.
  • Placement at the AVCon event is not confirmed until all payments have been made by the required deadlines.
  • If the Artist/Exhibitor can no longer attend AVCon and clear communication of cancellation is made within one month of acceptance of the application and before April 27th 2024, any payments made by the Artist/Exhibitor will be refunded in full.
  • If the Artist/Exhibitor can no longer attend AVCon and clear communication of cancellation is made within two months of acceptance of the application and before April 27th 2024, a partial refund of 50% of any payments made by the Artist/Exhibitor will be refunded to reflect expenses AVCon has incurred.
  • If the Artist/Exhibitor can no longer attend AVCon and clear communication of cancellation is made after April 27th 2024, the Artist/Exhibitor will forfeit all payments made to reflect expenses AVCon had already incurred.

Exhibitors/Artist/Vendor Conduct

  • The Artist/Exhibitor must ensure that the Display is manned at all times while the event is open to the public.
  • The Artist/Exhibitor must conduct themselves in a professional manner and must not cause nuisance or disturbance to the event, other Artists/Exhibitors, attendees, Venue, or other members of the public.
  • Under no circumstances is the Artist/Exhibitor to harass or hassle any customer. The Artist/Exhibitor must not spruik or permit any other loud or like noise that Venue or AVCon deem unreasonable.
  • The Artist/Exhibitor must be responsible when using the Venue loading dock and other bump in/out facilities or equipment.
  • The Artist/Exhibitor must take no public action or makes public speech or comment that impacts the name or reputation of AVCon or Venue.

Prohibited and restricted items

  • Display and sale of any material must comply with relevant South Australian legislation and Australian Consumer Law (ACL) protections, which guarantee consumer rights when consumers buy goods and services in Australia. Under the ACL, consumers are entitled to a replacement or a refund for a major failure of a product. Consumers are also entitled to have products repaired or replaced if the products fail to be of acceptable quality, and failure does not amount to a major failure.
  • The following items are not permitted within the Venue for either Display or sale purposes:
    • Bootleg products or material violating copyright laws. That is any product that is an unauthorised replica of an existing product that was not produced or endorsed by the legal license holder. For example, a plastic figure made by a third party from an imitation mould of an official product. If a query is raised, the Artist/Exhibitor may be requested to produce evidence of product authenticity or the right to sell the product from the License Holder.
    • Unlicensed items. That is a product produced that is likely to be recognised as or mistaken for a product derived from an Intellectual Property when the legal license holder has licensed no product. For example, diecast models made to resemble identifiable craft from an anime when no such product was licensed by the rights holder. If a query is raised, the Artist/Exhibitor may be requested to produce evidence of product authenticity or the right to sell the product from the License Holder.
    • Artwork or product not produced by the Artist/Exhibitor themselves and without consent of the Artist or Company that did produce the artwork or product.
    • Artwork that has been traced, copied or is likely to be mistaken for another piece of work created by another artist.
    • Any works or products – drawn, written, or produced by AI generation.
    • Items illegal under both South Australian and Commonwealth legislation.
    • Food or beverages of any kind.
    • Any pieces of work depicting representation of acts or imagery that would be deemed inappropriate in a family-friendly G setting. These would pertain to sexuality, violence, politics, religion, or ideology. Team AVCon reserves the right to be the sole judge as to what is deemed appropriate without question. Allowances for more sexually explicit or violent material will be made for AVCon After Dark only.
    • If a product is deemed to be prohibited under these Terms and Conditions, the product must be withdrawn from sale and public view immediately and without question.

Insurance

  • The Artist/Exhibitor is responsible for effecting its own insurance over its property and employees. Venue insurance policies cover only articles owned by the Venue, and AVCon insurance policies cover only articles owned by AVCon.
  • The Artist/Exhibitor must effect public liability insurance of a minimum of $5 million for Artists and $10 million for Exhibitors per claim with an insurer acceptable to AVCon. The Artist/Exhibitor must be able to provide Team AVCon with a copy of its public liability policy of insurance on request, together with a Certificate of Currency for that policy.

Indemnity

  • The Artist/Exhibitor will indemnify AVCon and Venue from and against all claims, demands, losses, damages, costs, and expenses for which they may become liable in respect of or arising from:
    • Loss, damage or injury to any person or property within the Venue caused or contributed to by the Artist/Exhibitor’s failure to comply with the terms of this agreement;
    • Loss, damages or injury to any person or property caused or contributed to by the negligence of the Artist/Exhibitor; and
    • Loss, damage or injury to any person or property caused or contributed to by or arising from the use of Allocated Space.

Risk

  • The Artist/Exhibitor accepts that it occupies the allocated space at its own risk. AVCon and Venue shall not, in any circumstance, be liable to the Artist/Exhibitor for any damages suffered by it or its property.
  • In particular, whilst AVCon has made provision for security in the Venue, AVCon does not accept responsibility for the security of any Display or products left unattended.

Assignment

  • The Artist/Exhibitor may not assign, sub-let, or otherwise deal its Allocated Space to a third party without AVCon’s approval.

Termination

  • Should the Artist/Exhibitor breach any of these terms, AVCon may terminate the approval to use the Allocated Space without notice.

Owner’s Right

  • Venue and AVCon have the right to move any Allocated Spaces or cancel any agreements with the Artist/Exhibitors at any time without notice.

Electrical

  • All electrical equipment and leads must be tested and tagged in accordance with Australian standards.

Dispute Resolution

  • Despite the Terms and Conditions laid out in this document and AVCon’s right to enforce them, if a dispute arises beyond the bounds of this agreement and AVCon and other parties involved cannot reach an amicable resolution within 30 days following notification of a dispute then either party can request the dispute be referred to mediation.
    • Mediation will be conducted in accordance with the Resolution Institute, formerly the Institute of Arbitrators and Mediators Australia (“IAMA”). If that mediation does not settle the dispute within 30 days after submission, the dispute will be referred to arbitration in accordance with the IAMA Rules.
    • The arbitrator will be as agreed by the parties or failing agreement, then as nominated by the managing persons of the Resolution Institute.
    • Any notice required or permitted shall be in writing and may be given by email to artistalley@avcon.org.au or by letter addressed to Team AVCon Incorporated, PO BOX 9, RUNDLE MALL SA 5000.

Privacy Policy

This Policy is intended to provide an overview of our policies for handling your personal information by Team AVCon Incorporated (“Team AVCon”). For the Act and the Policy, your personal information is any information about you that may reasonably ascertain your identity. This Policy covers most personal information collected by Team AVCon, but it is not exhaustive. How Team AVCon Collects, Holds, Uses and Discloses Personal Information

Collection

Team AVCon limits the personal information it collects to information necessary for providing or promoting membership, products, and services to you. Team AVCon nearly always collects personal information directly from you, including from membership application forms, entry into promotions, surveys, mailing lists, websites and registration forms, as well as through communication with you.

Where personal information is not provided, Team AVCon may not be able to provide you with products or services.

Team AVCon handles personal information carefully. A specialist third party may store your personal information at an off-site location, or Team AVCon may store it in a secure location.   3. Encryption of personal information and AVCon databases;

  5. Physical document security, including locked offices, filing cabinets and archives; and
  6. Periodic secure destruction of the information on the database ensures that your personal information will not be stored indefinitely.

Team AVCon reserves the right to refuse to provide you with further information about security procedures if doing so may compromise those procedures.

Use and Disclosure

Team AVCon will generally only use or disclose your personal information for the purpose for which it was collected, with your consent and/or for related purposes that Team AVCon considers are within your reasonable expectations. Team AVCon does not otherwise disclose your information to third-party organisations for any purpose, including marketing or promotional purposes, without your consent.

Team AVCon will seek your consent before using or disclosing your personal information for any other purpose (unless the use or disclosure is required or authorised by law).

Online Privacy

This section of the Privacy Policy deals specifically with the “online services” provided by Team AVCon and includes any services provided via the Internet. This may include email, the Team AVCon website and any other website that Team AVCon may operate from time to time.

Automatic Server Logs

The web server used by Team AVCon automatically collects various items of information when you access the website, including:
